No Reply All add-in is developed in the Microsoft Research labs for the latest office suite (This utility is compatible with the 2007 and 2010 versions) Once you install this add-in it enables two new buttons called No Reply All and No Forward on the outlook ribbon. When you compose new emails you can enable this feature by simply clicking on these buttons on the ribbon. So when someone receives your emails after enabling this feature they will be unable to perform a Reply All or Forward email.

This will not come as default features in Microsoft Office because this is actually helpful in an organization were Exchange server and Microsoft Outlook is used for email communication. The add-in will prevent the users from resending the emails to others when the No Reply All and No Forward options are enabled on certain emails.

I have tested it on the Google apps account configured on my Outlook 2010 it works like a charm when I enable the options and send it to myself. Never expect to work this on a webmail as these functions will become active when the VB Scripts are running in the background.

Download this Microsoft Project file

It is known problem that the Outlook application will become slow down gradually when your mail folder data increases. But we curse the computer resource instead of doing any housekeeping. Excessive sized mail folders will cause this situation. So today we are going to learn few tips to do that proper housekeeping to avoid such situations.

1. Configure Auto Archiving or make a practice of archiving old emails

Configure old emails from the mailbox and preserve it in archive folders. If you don’t require it every day, close the folder from the Outlook application.

Right Click on the mail folder and click on Close “Outlook Data file”

Anytime it can be opened from File>Open>Open Outlook Data File.

Because keeping many/large archive (PST) files hooked on to the Outlook can slow down the outlook when you launching the application. Try to keep only most recent data on the outlook.

Here is how you set the Auto Archiving

Click on File>Options and click on Advanced

Click on the Image to Enlarge it

Select the Mail box store and then set the Archiving options how often you want to archive.

Either you can use Archive feature or manually move emails to an archive folder.

2. Defragment your PST file using Compact feature

Compact Now feature on the Outlook can compress your folders and reduce the size. It is just like the defragmenting feature on the Windows operating system. It compresses the data to provide a faster and quicker accessibility.

In order to do this right click on the Mail folder (It will be either look like a Mail id above all or else it will be called Personal folder)

Then click on Data File Properties

Then on the General tab click Advanced button and then proceed with Compact Now button to compress the Mail folder.

3. Scan and repair the PST file with Scanpst.exe

Outlook has its own medic in built in the application package the scanning utility is called SCANPST.EXE, located in C:\Program Files\Microsoft Office\Office14\scanpst.exe
For office 2007 check it in side Office12 folder instead of Office14
Run this, browse your PST file and it can scan and repair for any potential corrupted part in the mail folder. Read more about it here

Those who are used with Microsoft Outlook must have noticed the email cache on the address bar. Email cache or auto complete is a collection of email address you have send out. This email cache is very much convenient as it will auto fill the email on the address bar and you can avoid putting in the same address every time you draft a mail. So what happens when you unable to find the cache of more than 400 email addresses?
Well It can be of few reasons:-

• When you reinstall the operating system in a computer and forget to backup the nk2 file.
• Nk2 file gets cleared of itself because of a corrupted Microsoft Office application.
• Data loss because of a hard disk crash. (This can be referred as a disaster but mails saved on the server can be synchronized with the outlook and recover all the mail addresses)
The Outlook Auto Complete Cache Builder is capable of recreating the email cache from the mailboxes. The procedure of this utility is quite easy to perform. So let’s hop over to that and see the procedures.

1) Download the file and then extract it to a folder. Run setup.exe to install the application.

2) After completion of the setup run Rebuild OutlookCache from the program menu.

3) By pressing the Auto Rebuild will create a cache file of the emails in send folder.

4) Use Select Additional Folder to select more mail folders to fetch more email address. ( It can be any other custom folders or even a folder in your archive mailbox)

5) Enable access for 10 minutes to perform the action you have executed.

6) That’s it! you have fetched all the email address and stored in the cache.

Best Practice : It is always good to save all new contacts in to the outlook contacts folder.

I hope it was a helpful article. Drop some lines if you have any questions regarding this.

Have you ever come across situation were the images are not displaying in Microsoft Outlook? You will experience this when you get emails with images, the content will display but the pictures will not.

Before we go in to the fix for this let’s discuss the process of Outlook:

When you open any attachments in outlook it will temporarily save it in the windows Temporary internet folder. It’s a special folder called OLK, OLK is a super hiddenl folder which you can’t view from the explorer. So all the attachments in your Outlook will store in this folder so each and every time when you open an attachment those attachments will store in this OLK folder as a junk and when the amount of this junk increases you will experience this problem. So lets see how to fix this problem.

Fix 1.

Open your registry ( Type in “Regedit” in Run box”)

Then navigate to this key in the registry “HKEY_CURRENT_USER\Software\Microsoft\Office\11.0\Outlook\Security

On the right side you could see a key called “OutlookSecureTempFolder” Right click on this key and click on Modify

You will get a folder path something like this “C:\Users\Renjith\AppData\Local\Microsoft\Windows\Temporary Internet Files\OLKC801”

Copy this folder path and type in the Run box which will open up this location

Now clear all the files in this folder.

After this if you try to open any emails which has images it will display the images.

Fix 2.

Delete the “OutlookSecureTempFolder” key from the registry and restart the computer

This will actually create another OLK folder. I will not suggest you doing this because this will not delete all the junk files.

The Microsoft Outlook Attachment Extractor is a small software program for the Windows operating system that can extract and remove email attachments from selected Microsoft Outlook folders. Extracting in this case simply means to save the attachments of a selected Outlook folder to another location on the computer system. Removing on the other hand means that the attachments will get unlinked from the email messages which will free up the space on the hard drive that the Outlook mails and profiles reside on.

This does not have to mean that the attachment cannot be opened from the email anymore. It is possible to remove the attachment from the Outlook folder completely, to replace it with a link pointing to the new location of the files or to replace it with a text reference in the email attachment.
